Cancellation Policy

How to cancel or change a booking, when you're entitled to a refund, and how no-shows are handled.

We know travel plans change. This Cancellation Policy explains your options for cancelling or adjusting a booking made through Intracia, and what refund you can expect depending on the timing of your cancellation and the rate type you selected.

1. Free Cancellation Window

Most bookings can be cancelled free of charge up to 48 hours before your scheduled pick-up time. Cancellations made within this window receive a full refund of any amount charged at booking, processed back to your original payment method.

2. Late Cancellations

Cancellations made less than 48 hours before pick-up may be subject to a cancellation fee, typically equal to one day's rental rate, to compensate the provider for lost availability. The exact fee for your booking is shown at checkout and in your confirmation email before you complete your reservation.

3. No-Shows

If you do not arrive to collect your vehicle and have not cancelled or contacted the provider, the booking is treated as a no-show. No-shows are generally non-refundable, as the provider has held the vehicle exclusively for your reservation. If you're running late, contact the provider directly or call Intracia support — many pick-up windows can be extended by a few hours if you let us know in advance.

4. Modifying a Booking

You can change your pick-up date, drop-off date, or vehicle class through your booking confirmation or by contacting support, subject to availability. Changes made within the free cancellation window are typically free; changes made closer to pick-up may be treated as a cancellation and rebooking, and priced accordingly.

5. Refund Timing

Approved refunds are issued to your original payment method within 5–10 business days, though your bank or card issuer may take additional time to post the credit to your account. You will receive an email confirmation once a refund has been processed on our end.

6. Prepaid & Non-Refundable Rates

Some discounted rates are marked "prepaid" or "non-refundable" at the time of booking in exchange for a lower price. These bookings are not eligible for a refund on cancellation, though many providers will still allow a date change for a fee. Always check the rate conditions shown before confirming a prepaid booking.

7. Provider-Initiated Cancellations

In rare cases, a provider may need to cancel a confirmed booking due to unforeseen vehicle unavailability. If this happens, Intracia will notify you as soon as possible, issue a full refund, and where available, help you rebook a comparable vehicle at no additional cost.

8. Force Majeure

If severe weather, natural disaster, government travel restriction, or similar event outside anyone's reasonable control prevents a booking from being fulfilled, Intracia will work with the provider to offer a full refund or a free date change, even outside the standard cancellation window.
